Why use Lewis & Foy Lettings?

Building the Lewis & Foy Lettings dream a reality was not easy. Liam & William developed their own customised management system from scratch (it's called 'Propiance') which is the foundation for their customer support.

Our software allows people to book viewings online or submit tenancy applications in the middle of the night when most traditional agents are closed. Landlords can follow the progress of applications or check their rental income in 'real time', while copies of tenancy agreements and certificates can be reviewed online. You will be notified via email, push notifications or SMS when an action is performed with your property. Utilising existing systems from James Foy Group, landlords can follow the progress of any maintenance issues, seeing photos throughout the work.

Our system is unique. It brings you, the landlord, essentially into our office environment. You can see us looking after your property. We are not a black box.

Maintenance

The foundation of Lewis & Foy Property Management is largely based on the poor understanding of maintenance by other letting agents. William often found he was overcharged for jobs that either weren't required or were not as serious as contractors made out. "I found the property managers would obtain a quote and trust what the contractor was saying. It is difficult being hands-off when the agents do not have anyone qualified to assess the works".

Lewis & Foy Lettings are not only able to estimate the works but can assess the required works and undertake them if the Landlord wishes. The landlord is still able to request Lewis & Foy to obtain alternative quotes, but Lewis & Foy aim to utilise the James Foy Group (Gas Safe & NICEIC registered) for any compliance and maintenance works to ensure a smooth service for all. You will inherit a 25 strong team of tradesmen, not sub-contractors (our staff are PAYE - they do not make up their own pricing structure). We offer significant discounts on maintenance works when we manage the property. Not only will any works be more cost effective for landlords, but they will also be managed more effectively and attain a warranty from 12 months to 6 years. We will not be telling you 'we are waiting to hear back from the contractors'. Communication and working promptly are essential to maintaining a good landlord and tenant relationship. There should never be an excuse for tenants defaulting. We will work for you.

Transparency

Landlords & tenants have their dedicated portals in which they can see the latest details for any repairs as well as receiving reminders when rent is due. Landlords can view all communications with tenants ensuring Lewis & Foy are not sitting on their hands! When we call a tenant, you will see a timestamp of exactly when.

Compliance

Your property must meet the UK legal safety standards. Lewis & Foy can advise you of the requirements and where necessary arrange any works to ensure you are compliant. Some of the landlord obligations include:

  • EPC – Energy Performance Certificates
  • EICR - Electrical Inspection Condition Report
  • The Gas Safety (Installations and Use) Regulations 1998 (Gas Safety Certificate - CP12)
  • Electrical Equipment (Safety) Regulations 1994.
  • Furniture and Furnishings (Fire) (Safety) Regulations 1988.
  • Smoke and Carbon Monoxide Alarm Regulations (2015).
  • Legionella Risk Assessment.

Rental Collection

At Lewis & Foy, we understand that prompt rent collection is crucial to successful property management. That's why we have implemented a rigorous rent collection methodology that collects your rental income promptly and efficiently using our proprietary digital software.

Firstly, we take the time initially to ensure that all our tenants thoroughly understand their rental obligations and payment schedules as defined in the AST. We ensure that the tenancy agreement terms are clear and that they understand the importance of paying their rent on time. This helps to establish a good relationship with our tenants and reduces the likelihood of rent arrears in the future.

We utilise our advanced property management software that automates the rent collection process, providing accurate and up-to-date information on rent payments. This software enables us to monitor rent payments in real time and identify any problems quickly. This enables us to take immediate action in addressing any arrears and ensure that any late payments are collected as soon as possible.

In the circumstances of rent arrears occurring, we have a robust system in place to manage the situation. We will contact the tenant as soon as we become aware of the issue to understand the reasons behind the late rental payment and operate with them to find a quick resolution. We will keep you fully informed throughout the process and provide regular updates on the status of the rent collection.

In the rare event that we are unable to collect the rent, we have a team of experienced personnel who can assist with the legal process of evicting tenants and recovering any outstanding debts.
